The job

The Procurement Assistant will provide procurement and compliance support to WDIO projects in the provincial office. Ensure compliance with organizational and donor procurement guidelines, and maintain accurate procurement records and documentation. PA reports to the Project Manager in the provincial office and the Procurement Officer in the central office.

Roles and Responsibilities

  • Preparation of purchase orders and taking the approval of procurement and Finance for each purchase,
  • Deliveries of the goods after purchase to stock or to the required department or and keeping copies of delivery notes for purchasing proof,
  • Any advance taken from the finance department is to justify the advances by required documents such as original bill receipt signed by parties, purchaser and supplier, internal order form signed by a logistic officer, purchase order or contract signed by logistic, finance, and Project Manager, and a delivery note signed by the stock responsible.
  • Purchase necessary tools on time for any emergency order,
  • Update all order sheets daily and send them to all at the end of the week,
  • Perform any other required project-related tasks.
  • Assist in preparing and issuing requests for quotations (RFQs), tenders, and purchase orders.
  • Collect and review supplier quotations to ensure compliance with specifications.
  • Support bid evaluation and vendor selection processes.
  • Maintain procurement files, contracts, and supplier databases.
  • Ensure all procurement activities are documented and filed according to organizational standards and policy.
  • Communicate with suppliers regarding quotations, deliveries, and invoices.
  • Track procurement requests and provide updates to program and finance teams.
  • Support vendor performance monitoring and maintain updated supplier records.
  • Assist in organizing procurement committee meetings and preparing minutes.
  • Support logistics arrangements for the delivery and distribution of goods.
  • Provide administrative support to the procurement unit as required.
  • Maintain procurement files, contracts, and supplier databases.
  • Ensure all procurement activities are documented and filed according to organizational standards.
  • Verify that procurement transactions comply with donor and organizational policies.

Requirements

  • The applicant must have a university or equivalent degree from a recognized institute in accounting/finance, BBA, management, political science, or any other related field.
  • At least 3 years of relevant working experience
  • Knowledge of procurement regulations and compliance standards.
  • Good organizational and record-keeping skills.
  • Excellent knowledge and experience in office packages.
  • Strong organizational and communication abilities.
  • Excellent writing and speaking of Pashto, Dari & English Excellent interpersonal, communication, teamwork, & presentation skills are required. Ability to communicate effectively & maintain rapport with all levels of employees is required.
