The job

Purpose of the Position

  • To support the efficient management of medicines and medical supplies by maintaining accurate stock records, supporting pharmacy operations, and ensuring timely and accurate use of the mSupply system.

Key Responsibilities

  • Receive, inspect, organize, and safely store medicines and medical supplies.
  • Maintain accurate stock records and ensure proper stock rotation using FEFO (First Expiry, First Out) and FIFO (First In, First Out).
  • Monitor stock levels, expiry dates, losses, damages, and potential stock-outs.
  • Enter, update, and maintain accurate inventory and transaction data in mSupply.
  • Generate and review routine mSupply reports and support data-based stock planning.
  • Conduct regular physical stock counts and reconcile discrepancies between physical stock and system records.
  • Prepare and support documentation for requisitions, issues, receipts, transfers, and returns.
  • Ensure proper filing and availability of pharmacy and inventory documents.
  • Report stock discrepancies, near-expiry items, and supply concerns promptly to the supervisor.
  • Maintain confidentiality, accuracy, and compliance with organizational pharmacy and supply-chain procedures.
  • Provide basic support and guidance to pharmacy staff on mSupply data entry and stock management procedures.

Requirements

Required Qualifications and Skills

  • Diploma/degree in Pharmacy and Bachelor Degree in the Pharmacy is preferred.
  • Previous experience in pharmacy, medical supply, or inventory management.
  • Practical experience with mSupply inventory management system is desirable.
  • Good computer and data-entry skills, with strong attention to detail.
  • Good organizational, communication, and record-keeping skills.
  • Ability to work accurately under pressure and meet reporting deadlines.

Key Performance Indicators

  • Accurate and timely mSupply data entry and reporting.
  • Minimal discrepancies between physical stock and system records.
  • Timely identification of stock-outs and near-expiry items.
  • Proper documentation and filing of pharmacy transactions.
  • Compliance with stock management and organizational procedures.
